Accounts Eligibility Supplemental Document

“In general, only current undergraduate and graduate students and current non-temporary regular faculty and staff of the University are Regular Users.”

Are Emeritus faculty eligible for account services?

Yes. Emeritus faculty are eligible.

Are retired staff eligible for account services?

No, retired staff are not eligible for account services.

Are Hospital Residents and Fellows eligible for account services?

Yes, Hospital Residents and Fellows are eligible for account services.

Are Hospital staff eligible for account services?

No. Hospital staff receive their account services through the Hospital Medical Center Information Systems. They can be reached at 702-1400.

Are temporary staff working full time eligible for account services?

Yes. Eligible staff include all full and part time staff of the University.

Are there any University staff members who are not eligible for account services?

Yes. Casual staff are not eligible for account services.

How long are students eligible for account services after they graduate?

Students are eligible for account services for two quarters after they graduate or stop enrolling as current students. Graduates of the University are eligible for Alumni services, which include an alumni email forwarding address. Information about these services will be sent to students during the quarter in which they intend to graduate.

Can students who are no longer eligible for account services pay to receive account services through the University?

No. IT Services does not provide any for-fee services.

Are students on leave of absence eligible for account services?

No. Students must be fully registered and enrolled to be eligible for account services.

Are part-time students eligible for account services?

Yes. Students registered for at least one credited course are eligible for account services.

Are there any courses which are NOT considered credited?

Yes. The University of Chicago offers several certificate programs which are not credited and non-degree. Students in these programs are not eligible for account services.

Are Pro Forma students eligible for account services?

Yes. Students who are Pro Forma are eligible for account services.

Are Extended Residence students eligible for account services?

Yes. Students in Extended Residence are eligible for account services.

Are students who are auditing courses eligible for account services?

No. Students must be fully enrolled in order to be eligible for account services.

Are students who are finishing coursework from previous quarters eligible for account services?

No. Students must be fully enrolled in order to be eligible for account services.

Are spouses of faculty, staff, or students eligible for account services?

No. Only direct members of the University community, i.e., faculty, students, and staff, are eligible for account services.

Are children of faculty, staff, or students eligible for account services?

No. Only direct members of the University community, i.e., faculty, students, and staff, are eligible for account services.

Can eligible students, staff, or faculty members share their accounts with spouses or children?

No. Accounts are approved for use solely by the account owner. Additionally, account owners are responsible for all use of their accounts.

Can an eligible student, staff, or faculty member get a second account to separate work email from personal email?

No.  Each eligible individual is eligible for one and only one account.

Are Resident Heads and Resident Masters eligible for account services?

Yes. Resident Heads and Resident Masters are eligible for account services.

Can students, staff, or faculty who are eligible for account services lose those privileges?

Yes. All members of the University community are responsible for following policies regarding conduct and fair use. If a University member who is otherwise eligible for accounts services breaks University policies, his or her account privileges may be terminated. Decisions to terminate or suspend account privileges are made either by departmental Deans or the Office of the Provost.
